About the role
To act as first port of call and provide support and delivery of services to clients, drivers and the Activa Sales team.
The ideal candidate will have a flexible approach to the role, be highly self and team motivated, and have the ability to build effective internal and external relationships. They will need to be confident, proactive and dynamic, with a can-do attitude, enthusiasm, and a high level of energy.
Day-to-day duties
- Dealing with incoming enquiries by telephone and email.
- Adhering to Activa’s 15-second ring policy for answering all incoming calls.
- Dispatch of contract renewal emails and assist with vehicle selection, ensuring vehicle fit for purpose, lifestyle requirements etc.
- The organisation of demo vehicles as requested by our customers, ensuring the appropriate models are in line with driver grades and the Activa guidelines.
- Obtaining confirmation of on-the-road prices from suppliers.
- Preparation of vehicle quotations using our in-house system, making sure that correct discount levels have been applied and adhere to the tailored client policy
- Raising Activa proceed to order our tailored client order forms as relevant.
- Sourcing and ordering of vehicles with our internal and external suppliers.
- Having an overview of any day-to-day driver or vehicle concerns and escalation to Ops or Imps if required.
- Initial DR enquiries, liaising with DR team.
- Arranging for any relevant authorisation letters to be sent to drivers as requested e.g. overseas travel, fitment of towbars, parking permits etc.
- Liaise closely with the relevant Activa area manager.
- Act as an ambassador for the company on all external or internal reviews or meetings with customers and/or suppliers.
Essential skills
- Have gained or are working towards a GCSE 4-9 in Maths, English and one other subject or equivalent
- Excellent organisational and prioritisation skills, delivering a systematic, controlled approach, with keen attention to detail
- Ability to learn effectively and follow through applying problem solving techniques
- Good interpersonal, communication, verbal and written skills
- Ability to contribute effectively in a fast-paced, changing environment
- Computer literate to intermediate level on all Microsoft Packages and in-house applications
- Good mathematical skills
